An efficient filing system is the only way to rid a household of papers that seem to overcome countertops and many other areas within the home. Although many people are unsure about where to begin when it comes to organizing paper files, it is important to have the following supplies ready:
· File folders that can be used to separate individual file folders
· Labels that can be affixed to the folders
· Filing cabinet or other source of efficient filing system
· Permanent Marker or pen to label file folders
The first thing to do is to gather all of the paperwork that needs to be filed and store this paperwork in one area. This way, the organizer can have access to everything in front of them, rather than searching for papers through the course of the organizational quest.
Next, determine the categories. It can be helpful to start with the basic systems of paperwork that should be kept track of, using household bills and bank statements and education information to create file folders.
How long should you keep paperwork within the filing system? At least six months is recommended for household bills and other types of paperwork that have to do with utilities and contracts. Other statements that have to do with taxation and government should be kept for seven years, although there can be a separate location for these items if there is just too much paper work to keep a handle on.
Next, begin with the pile of paperwork, get the files ready and write on the labels which should be affixed to the file. File the paperwork inside of the file, placing the paper file inside of the filing cabinet or other method of filing to ensure that it will remain organized.
Experts recommend that these files be kept in alphabetical order to maintain the organization of the files. This can ensure that the paperwork is kept organized and statements can be easily located within the filing system. This also makes the process of filing paperwork in the future easier.
Any receipts or statements that don’t require filing can be kept within another pile to be shredded or destroyed.
Some helpful files that can be included in the filing system include bills that need to be paid, in the front of the filing system to avoid the buildup of mail on the kitchen counter, as well as receipts and charitable donations and even a file folder for miscellaneous papers that find their way into the system.
